Most comparisons of smart vending against traditional machines are written by people selling one of them. This one is written from our own machine data, and it is aimed at two different readers who want opposite things from the same box.

The number that framed this article
We checked our platform this month for refund requests across every machine and every transaction.
Zero.
That single figure is the clearest summary of what changed. Traditional vending’s defining customer experience is the machine taking money and giving nothing back. Smart vending does not manage that problem better — it removes the mechanism that causes it.
For business owners: what your people actually experience
Traditional vending. A spiral coil pushes product forward and hopes it falls. When it does not, the customer has lost their money and has no recourse except finding whoever manages the building. Payment is often cash, which means someone handles cash. Selection is limited to what tolerates months on a shelf.
Smart vending. The customer taps a card or phone, the door unlocks, they take what they want, and the door charges them when it closes. There is no coil, no drop, and nothing to jam.
Four differences that matter day to day:
Refunds resolve without you. Every machine carries a QR code on the front. A customer or site manager scans it to report a problem or request a refund, and it comes straight to us. Your office manager never becomes the complaints desk.
Restocking is driven by data, not a calendar. The machine reports its own stock levels to the cloud platform. We restock based on what is selling, which at busy sites often means every few days. You never have to tell us the machine is empty.
The product range widens considerably. Because nothing has to survive a coil drop, fresh food, protein, yogurt, glass bottles and frozen items all become viable.
Cost and commitment. Machines are free to qualifying locations — typically any site with 20 or more people there daily. No contract is required. If one is used, it asks only for 30 days’ notice to remove the equipment.
For operators: what changes about running the business
If you are evaluating equipment, the machine matters less than the platform behind it.
Traditional route work. You drive to a machine to learn whether it needs anything. You estimate product mix from experience. You collect and count cash. You hear about a fault when a location calls you, which means it has been broken for a while.
Smart route work. The differences compound as you add machines:
You are told when to restock. Alerts trigger on either sales volume or an inventory threshold, and the platform generates the restock order. Machines show stock status at a glance. You are not driving out to check.
You can see what actually sells. Sales reporting by product and by machine, over whatever period you choose. Our own data has repeatedly contradicted what we assumed would move — sports drinks, meat snacks, energy drinks and candy lead, and the mix differs noticeably between a gym and an office.
Remote control. Temperature, volume, card pre-authorisation amount, price changes, restarting a unit, or freezing a machine so nobody can open it — all from the app, including on a timer.
Restocking is faster. Scan the QR code to open, enter what you added, inventory updates itself. Each shelf layer holds up to 10 product facings, and once a product template works you can copy it to any machine with the same layer count.
Roles as you grow. Add a restocker scoped to specific machines, or someone with finance-only access. You are not handing out your own login.
No cash. Transactions and payouts sit in the platform and you request withdrawals yourself.
What our own machines show
We run our own equipment across Western Pennsylvania, which is the only reason we can write any of the above with confidence.
Across five machines in the first nine days of this month, our units served customers across a few hundred transactions and roughly 145 unique buyers. Refund requests: zero. Unpaid balances: zero.
The unpaid figure deserves a note. In a smart cooler the door opens on authorisation and charges on close, so the failure mode of a customer walking away without paying largely does not exist. That is the sort of thing that only becomes obvious once you are operating rather than reading brochures.
Which one is right for you
If you are a location: the honest test is daily foot traffic, not headcount. A 30-person shop where nobody leaves at lunch will outsell a 100-person office where everyone goes out. If you are not sure, ask for a free location review and we will tell you straight either way.
If you are an operator: buy the platform, not the box. Capacity and footprint decide which model, but the reporting and alerting decide whether a growing route stays manageable.
