Start with daily foot traffic, not building size. A 30-person shop where nobody leaves mid-shift will outsell a 100-person office where everyone goes out for lunch. Capacity should follow how fast product actually moves, because every restock trip costs you time and fuel.
Under about 50 daily users: Mini 360 or Plus 440. Lower entry cost, and you learn the location’s buying pattern before committing to a larger unit.
50 to 150 daily users: Pro 542, Max 620, or Max 620S. This is where a machine running empty starts costing real revenue.
150+ daily users, or sites that are a drive away: Max 660 or Ultra 1200. Bigger capacity means fewer service runs, which often matters more than unit price.
Two things operators learn the hard way. Measure the doorway and elevator before you order — the Ultra 1200 is nearly 54 inches wide, and the Freezer 550 is 33 inches deep, deeper than every other model. Weights run from 190 to 379 pounds, so confirm delivery access and who is moving it into place.
Gyms and fitness: weight the mix toward bottles and cans over snacks. This is the segment where we operate our own equipment, so ask us what actually sells.
Specs tell you what a machine holds. What matters day to day is how much work it takes to run. Everything below comes from the HAHA cloud management platform included with the equipment.
Restocking. Scan the machine’s QR code to open the door, enter what you added, and inventory updates. Each shelf holds up to 10 product facings, and once you have a product template you like you can copy it to any other machine with the same shelf count — which saves real time as your route grows.
You get told when to restock. Set alerts by either sales volume or standard inventory level. Machines show green when stock is healthy and red when they drop below your threshold, and the system generates restock orders for you. You are not driving out to check.
Remote control. Open the door, adjust temperature, change volume, restart a machine, set the card pre-authorization amount, or freeze a unit so nobody can open it — all from the app, including on a timer.
Staff and roles. As you grow, add people with specific permissions: a restocker limited to certain machines, someone with finance access, someone who can only view data. You are not handing out your own login.
Getting paid. Transaction records and bills sit in the app and you request withdrawals yourself. Requests submitted before midnight Wednesday are paid that week; later requests move to the following week, plus normal bank transfer time.
Products. Pull items from the cloud product library and set your own prices, or submit a new product application if something is not listed. Standardized items need a GTIN; non-standard items do not.
You can buy from a manufacturer overseas. What you generally cannot get is someone local who runs this equipment themselves and will tell you when a machine is the wrong fit for your location.
We operate our own smart coolers in Western Pennsylvania, so our read on placement, product mix, and realistic service intervals comes from running routes rather than a spec sheet. We are brand-agnostic on model selection — if a smaller unit is the right call for your first placement, we will say so.
